HerFaithVillage.com Ministries, through its HFV-Events Division (“HFV-Events,” “HFV Ministries,” “we,” “us,” or “our”), plans and hosts Christ-centered events, conferences, retreats, workshops, camps, youth programs, ministry gatherings, and related event experiences. Because HFV-Events makes advance financial commitments for venues, speakers, materials, staffing, lodging, food service, supplies, technology, merchandise, administrative support, and other event-related needs, all registrations, ticket purchases, merchandise purchases, donations, add-ons, and event-related transactions are subject to the following policy.

By completing a purchase, registration, donation, payment plan, merchandise order, or event-related transaction with HFV-Events, the purchaser and participant acknowledge that they have read, understood, and agreed to this Return, Refund, Exchange, Cancellation, and Ticket Transfer Policy.

All Sales Are Final

To the fullest extent permitted by law, all HFV-Events sales are final.

HFV-Events does not provide refunds, returns, exchanges, substitutions, transfers, credits, charge reversals, or cancellations for event tickets, registrations, deposits, payment plan payments, custom merchandise, add-ons, special-order items, donations, sponsorships, or event-related purchases, except where required by law or where HFV-Events expressly provides a written event-specific exception.

This policy applies whether the purchaser or participant is unable to attend, chooses not to attend, becomes ill, experiences a personal emergency, has a scheduling conflict, misses transportation, arrives late, leaves early, fails to complete required forms, fails to check in, or is removed from the event for violation of HFV-Events policies.

Event Tickets and Registrations Are Non-Refundable

All HFV-Events ticket purchases and event registrations are non-refundable.

This includes, but is not limited to:

Conference registrations;
Retreat registrations;
Workshop registrations;
Camp registrations;
Youth event registrations;
Ministry event registrations;
General admission tickets;
Reserved seating tickets;
VIP or special-access tickets;
Breakout session registrations;
Special meal, lodging, activity, or experience add-ons;
Deposits;
Payment plan payments;
Administrative fees;
Platform fees;
Payment processing fees; and
Any other event-related charge.

HFV-Events begins planning, reserving, purchasing, and financially committing resources based on registrations and expected attendance. For this reason, a participant’s inability to attend does not create a right to a refund, exchange, transfer, substitution, or credit.

No Ticket Transfers, Reassignments, or Substitutions

HFV-Events tickets and registrations are non-transferable.

Tickets and registrations may not be sold, gifted, reassigned, transferred, substituted, exchanged, applied to another person, applied to another event, or used by anyone other than the original registered participant.

Each ticket or registration is valid only for the person listed on the official HFV-Events registration record. HFV-Events may require identification at check-in and reserves the right to deny entry to any person attempting to use a ticket or registration that is not assigned to them.

Unauthorized ticket transfers, resale, attempted reassignment, or attempted substitution may result in cancellation of the ticket or registration without refund, credit, exchange, or transfer, to the fullest extent permitted by law.

No Exchanges

HFV-Events does not provide exchanges.

Tickets, registrations, merchandise, add-ons, custom items, special-order items, event bundles, and event-related purchases cannot be exchanged for another item, another size, another participant, another event, another date, another service, or another form of value, except where required by law or where HFV-Events expressly provides a written event-specific exception.

Purchasers are responsible for reviewing all event details, dates, times, locations, participant names, ticket types, merchandise sizes, quantities, spelling, custom details, and order information before completing checkout.

No Refunds or Credits for No-Shows, Late Arrivals, or Early Departures

Participants who do not attend an event are not eligible for a refund, exchange, transfer, substitution, or credit.

Participants who arrive late, miss part of the event, miss a session, leave early, fail to check in, fail to complete required forms, or are denied participation due to incomplete documentation are not eligible for a refund, exchange, transfer, substitution, or credit.

This applies regardless of the reason, including but not limited to illness, transportation issues, weather affecting personal travel, work conflicts, family emergencies, childcare issues, scheduling conflicts, lodging issues, personal decisions, or failure to review event requirements.

Custom Merchandise and Event Merchandise Are Final Sale

All custom merchandise, personalized merchandise, made-to-order items, event-specific items, ministry-branded items, apparel, printed materials, bundles, add-ons, and special-order merchandise are final sale.

HFV-Events does not provide refunds, returns, exchanges, size swaps, substitutions, or cancellations for merchandise once the order has been placed, prepared, printed, personalized, ordered, packaged, released, distributed, picked up, shipped, delivered, or otherwise started.

Final-sale merchandise includes, but is not limited to:

Custom apparel;
Ministry-branded apparel;
Event shirts;
Personalized items;
Printed materials;
Journals;
Books;
Workbooks;
Study guides;
Event bags;
Bundles;
Special-order items;
Made-to-order products;
Event-specific merchandise; and
Any item marked “custom,” “personalized,” “event-specific,” “special order,” “final sale,” or “non-refundable.”

HFV-Events may, in its sole discretion, review a merchandise concern involving a confirmed HFV-Events error, defective item, or materially incorrect item. Any remedy, if offered, may be limited to replacement, correction, store credit, or another remedy selected by HFV-Events. No remedy is guaranteed unless required by law.

Payment Plans

If HFV-Events offers a payment plan for a specific event, all payments must be made by the stated deadline.

Failure to complete a payment plan by the required deadline may result in cancellation of the registration. Amounts already paid are non-refundable and may be retained by HFV-Events to cover administrative expenses, reserved space, planning costs, lodging commitments, materials, merchant fees, payment processing fees, staffing costs, and other non-recoverable expenses, to the fullest extent permitted by law.

Payment plan payments may not be transferred, reassigned, exchanged, or applied to another participant, event, product, or service.

Donations, Sponsorships, and Ministry Contributions

Donations, sponsorships, love offerings, charitable gifts, ministry contributions, and fundraising-related payments made to HerFaithVillage.com Ministries or HFV-Events are non-refundable, except where required by law or where HFV-Events determines in writing that a transaction was made in error.

Because donations and ministry contributions may be used promptly for ministry planning, outreach, event preparation, charitable purposes, administrative support, or other ministry-related needs, donors should review all information carefully before submitting a contribution.

If you believe a donation was made in error, you must contact HFV-Events promptly at events@herfaithvillage.com with your name, transaction date, amount, and explanation of the issue.

HFV-Events Rescheduling

HFV-Events reserves the right to reschedule an event when necessary due to weather, venue issues, safety concerns, low enrollment, speaker changes, illness, public emergency, transportation issues, operational needs, acts of God, force majeure, or other circumstances affecting the event.

If HFV-Events reschedules an event, the original ticket or registration will automatically be honored for the rescheduled date unless HFV-Events provides different written instructions.

If HFV-Events reschedules an event and a registered participant cannot attend the rescheduled date, the participant may submit a written request for review within the deadline stated in the rescheduling notice. HFV-Events may, in its sole discretion and according to the event-specific circumstances, offer one of the following remedies:

Continued registration for the rescheduled event;
A credit toward a future HFV-Event;
A partial refund;
A full refund of eligible registration amounts paid; or
Another event-specific remedy announced in writing by HFV-Events.

Any refund or credit offered for a rescheduled event may exclude payment processing fees, platform fees, administrative fees, custom merchandise costs, already-provided materials, third-party costs, lodging costs, food service commitments, and other non-recoverable expenses, unless otherwise required by law.

HFV-Events is not responsible for participant travel expenses, lodging expenses, transportation costs, missed work, childcare costs, personal scheduling conflicts, or any other incidental or consequential expenses related to a rescheduled event.

HFV-Events Cancellation

HFV-Events reserves the right to cancel an event when necessary due to weather, venue issues, safety concerns, low enrollment, speaker changes, illness, public emergency, transportation issues, operational needs, acts of God, force majeure, or other circumstances affecting the event.

If HFV-Events cancels an event and does not reschedule it, HFV-Events will provide written instructions regarding any available remedy. Any remedy may be limited to a credit, partial refund, full refund of eligible registration amounts paid, or another event-specific remedy selected by HFV-Events, subject to applicable law.

Refunds, if offered or legally required, may exclude payment processing fees, platform fees, administrative fees, custom merchandise costs, already-provided materials, third-party costs, lodging costs, food service commitments, and other non-recoverable expenses, unless otherwise required by law.

Program, Speaker, Schedule, Venue, and Activity Changes

HFV-Events may modify event details at any time, including but not limited to schedules, speakers, presenters, worship leaders, session topics, breakout sessions, activities, venues, rooms, lodging arrangements, food service, check-in procedures, and program elements.

Such changes do not entitle a participant to a refund, exchange, transfer, substitution, or credit unless HFV-Events expressly states otherwise in writing or unless required by law.

Removal from Event or Denial of Participation

HFV-Events may deny entry, remove a participant, cancel a registration, or restrict participation when HFV-Events determines that such action is necessary or appropriate due to safety concerns, failure to complete required forms, violation of HFV-Events Terms and Conditions, violation of the Code of Conduct, disruptive behavior, threatening behavior, prohibited items, nonpayment, eligibility concerns, venue requirements, or legal compliance.

A participant who is denied entry, removed from an event, or restricted from participation for any such reason is not entitled to a refund, exchange, transfer, substitution, or credit, to the fullest extent permitted by law.

Chargebacks and Payment Disputes

By completing a purchase, registration, donation, merchandise order, payment plan, or event-related transaction, the purchaser acknowledges and agrees that the transaction is subject to this policy.

Before initiating a chargeback or payment dispute, purchasers are encouraged to contact HFV-Events at events@herfaithvillage.com so that HFV-Events may review the concern.

HFV-Events reserves the right to provide this policy, checkout acknowledgments, registration records, order records, confirmation emails, attendance records, merchandise records, communication history, and other relevant documentation to payment processors, banks, credit card companies, or dispute-resolution entities in response to any chargeback or payment dispute.

Nothing in this policy is intended to prevent a purchaser from exercising any non-waivable legal right.

Required Checkout Acknowledgment

HFV-Events may require purchasers and registrants to affirmatively acknowledge this policy before completing checkout, registration, payment, or order submission.

Completion of checkout, payment, registration, donation, or order submission constitutes acceptance of this policy, whether or not the purchaser has read it in full.

Written Exceptions Only

No volunteer, staff member, speaker, vendor, contractor, host, ministry leader, or representative may modify this policy verbally.

Any exception to this policy must be expressly stated in writing by an authorized HFV-Events representative. Informal conversations, verbal statements, text messages, social media messages, or assumptions do not modify this policy unless confirmed in writing by HFV-Events.
